Office 365 Email Frequently Asked Questions


When are we migrating to Office 365 in the Cloud?

All LACCD employees will be officially migrated to the cloud and begin using Office 365 starting April 8, 2019.  However, we will begin migrating people starting April 6 and through-out the entire weekend. If you notice you are not receiving email over the weekend of April 6-7, you can check your email from anywhere using the Office 365 Outlook Web Application (OWA).

How do I access my email after the migration?

Until your LACCD-supported devices and Outlook is updated by the LAVC IT staff, you will need to access email using the Office 365 Outlook Web Application (OWA). The username and password is the same as the SIS/PeopleSoft account. If you do not have an SIS account, you will need to set up your account using the instructions below.

What if I have never logged in to SIS/PeopleSoft before?

You need to set up your employee user name and password for SIS/PeopleSoft.

Employee Login Name and Default Password Format

Employee username is your SAP user ID, or your email address. Example employee ID’s: smithj or

Employee default passwords will consist of:

  • 8@ + the month of your birthdate (MM) + the first character of your last name (capitalized) + the last 4 digits of your SSN
  • For example, Joe Smith, who was born on August 9th, and has SSN xxx-xx-1234, his default password would be: 8@08S1234

Once you have successfully logged in, you will be required to update your password, and create your five security questions and answers. Please make note of your questions/answers, so you can retrieve your password in the future.

What does my Office 365 account give me access to?

The District is implementing a Single-Sign On for all Districtwide systems, such as Office 365 email and OneDrive, and PeopleSoft/LACCD SIS Portal. Your user name and password for Office 365 is the same as what you need to use to log into the SIS/PeopleSoft.

Can I use my Office 365 user name and password to log into my computer and Wi-Fi?

The user name and password you need to log into your office computer and campus Wi-Fi is the same as before the email migration.

Will I be able to keep my current email address?

Yes, you will be able to keep your existing email address. Even if you have multiple email addresses due to multiple assignments at different colleges, all email addresses will still receive email into 1 unified Inbox. We will be limited to the email addresses that are in the HR database and have been officially assigned in SAP. You will only be able to send email out from the email address assigned to your PRIMARY assignment in SAP.

When I sent out an email, what email address will appear to the recipient? 

For example:
  • I am a full-time classified or unclassified employee at Valley College, or
  • I am a full-time faculty member at Valley College, or
  • I am a full-time classified employee at Valley College; I am also an adjunct faculty and have email addresses at LA Trade Tech and LA City College, or
  • I am an adjunct faculty member and have three email addresses at three different colleges: Valley, Trade Tech and City College; Trade Tech was the college when I first hired.

The Office 365 email accounts are completely based on the primary email address in the Human Resource SAP system. For example, if your primary assignment is set at, your email address will appear as; if your primary assignment is set at, your email will appear as to the recipient. Please contact the LAVC IT Department at (818) 947-2489 to find out what your primary assignment is in SAP.

Where will all my emails be delivered if I have more than one email addresses?

You will have one (1) unified inbox in the cloud.  What this means is that all your existing email address will still receive email, but they will be delivered into a single location at seamlessly.

Can I change my email address to appear as when I sent out emails?

The District IT Department is working on this capability in the future. We will provide an update once the information becomes available. Please stay tuned!

What if the email address I currently use does not match what is in SAP?

If you have an email address that does not match your SAP login name or email address in SAP, you may make a request to the LAVC IT Department at (818) 947-2489 to add that email address to your account as an alias. Please remember to specify if you want that email address as your primary address that will also send out email. However, you will have to use the primary SAP email address for your login.

What will happen to all the emails I have saved in the old Outlook email system?

We are currently importing all existing emails into your new cloud account. You will see them in subfolders named “Imported.” If you notice any old emails missing, the LAVC IT Department can make sure to import again. All existing email will still be saved on our LAVC campus servers and will not be lost.

I like my email just the way it is and don’t want it touched. Can’t I opt out?

No, sorry, we are packing up and moving everybody to the cloud.  We understand your concerns, and the LAVC IT Department will work hand-in-hand with you to keep this as seamless as possible for you.

Is my information and data protected?

Yes, your emails and attached data will be secure. We are using Microsoft Cloud Security that is certified and meet US Federal and International Security Standards such as HIPPA and FISMA.

What if I use a departmental/generic email account?

All departmental/generic accounts (i.e. emails not tied to a specific person) are also being migrated to Office 365. The email address will continue to work, but departmental/generic account users will need to log into Office 365 with a new user name that begins with “lavc-”. For example, to login name for the “” account will be “lavc-ithelpdesk”. To get your new departmental/generic password, please contact the LAVC IT Department at (818) 947-2489.
